We recommend that you contact New Academia before starting the submission process to clarify any questions you may have. We also require that you send in a brief proposal of your project as an email attachment. The proposal must include; a) working title; b) statement of aims; c) synopsis; d) review of competing titles; e) target audience; f) target submission date; g) author bio.

When you are ready to submit your manuscript, follow the submission guidelines below. This will help to speed your book through formatting. Failure to submit a clean file and a complete package can cause delays.
- Submit your files in MS Word. Submit online as an email attachment, or FTP a downloadable link.Note: We do not accept WordPerfect, Microsoft Works, or any format other than MS Word.
- Manuscripts must follow the The Chicago Manual of Style, except where specified otherwise in these Submission Guidelines.Manuscripts must be typed in Times New Roman fonts, single-spaced, pages must be numbered.The entire manuscript must be left-justified, including chapter headings and section headings. We will convert the text to New Academia format and font style.Use only one space after period and other punctuation marks. Never use more than one space.
- Spell Check. Use the English U.S. Dictionary. Be sure to run a spell check before submitting your file. Catching typographical errors ahead of time will prevent editorial corrections during the proofing process, which can incur fees (see Corrections Policy below).
- Section Breaks. To indicate a section break within a chapter, use three asterisks (***) with a hard return before and after. Start the new paragraph without indentation. Use this method consistently with every section break. Section breaks will be formatted with additional space.
- Hard Returns. Do not use any unnecessary hard returns. Press the Enter or Return key only at the end of paragraphs or individual lines of a poem. All additional spaces between paragraphs, unless noted as section breaks, will be eliminated.
- Indentation. Set the tab at: First Line Indentation, 0.25″ (through Format>Paragraph). Do not use the Space Bar or the Tab Key to indent paragraphs.
- Hyphen and M-dash. Make sure you distinguish between hyphen and M-dash. Do not use hyphen as M-dash. Get M-dash from Insert>Symbol.
- Suspension Dots. Get suspension dots from Insert>Symbol. Do not use single dots for suspension.
- Chapter Headings and other Naming Conventions. Make sure all chapter headings or other sequential naming conventions follow the same pattern. Use a consistent method throughout the manuscript.
- Headers and Footers. Delete headers and footers. They will be added according to the NAP template during the formatting process.
- Notes. We do not accept footnotes. We do accept endnotes. Make sure you use only endnotes placed at the end of the manuscript, not at the end of chapters. The endnotes must start with number 1 at the beginning of each chapter. In case of a collection of essays, you may place end notes after each essay.
- Index. Index should be submitted as a Word file, with all entries flush left. We will format the index according to our template.
- Table of Contents and other Listings. Type page numbers in the Table of Contents, List of Illustrations and similar listings, according to the manuscript pagination. The page numbers will be changed when the book is formatted.
- Font. The manuscript must be typed in Times New Roman, single spaced. The font size should be 12 point type. We will convert all text into the New Academia standardized format and font style.
- Italics. Use italics where appropriate (for example, book titles). Do not underline words.
- Justification. Use left justified consistently throughout the text.
- Excerpted Material. Excerpts and quotes that are to be indented should be denoted for placement. Indicate where excerpted material begins by typing the following:<Begin Excerpting Here>, enter a Hard Return, and then insert the actual excerpt or quote.At the end of the excerpt, type
<End Excerpting> and enter a Hard Return.Do not indent excerpts and quotes. This will be done in the formatting process. Keep excerpts and quotes left justified.
- Tables, Charts, Columned Lists. We do not accept tables or charts created in Word. They must be created as graphics and submitted as a separate file. Indicate in the manuscript where they should be inserted. Review the graphics instructions below for more information. Lists, which include two or more columns must also be created as graphics. When we convert fonts, the size of words may change, which will alter the alignments in a Word documents.
- Graphics. The term “graphics” is applied to anything that is considered non-text, i.e. photos, drawings, charts, figures, tables, etc. Graphics must be submitted according to the following guidelines:
- All graphics must be submitted at a resolution of 300 dpi, .TIF format.
- Multiple graphics to be included in the book must be placed in a folder.
- Every graphic should be named and placement notation must appear where the image is to appear in the text. For example: “dog.tiff” should be indicated for placement in the text by the following notation:Enter Hard Return

Enter Hard ReturnIn the formatting process we will maintain the graphic’s position as close as possible to the one indicated. Variations will depend on the text flow.
- All interior graphics must be saved at 300 dpi, grayscale, .TIF, at the size you wish them to appear in the book. In any case, they should not be larger than 4.5″ wide and 7″ high.
- The cover image and the author portrait may be submitted in color. Cover image size depends on design. Maximum size for front cover 6″ x 9″, for wraparound image 9″ x 13″. The author portrait should be approximately 2″ x 2″.
- Length of a Book. The maximum length of a formatted book is 740 pages (828 pages for books larger than 6×9). NAP’s recommended length for a title is 300-450 pages.The minimum length of a title with spine is 80 pages; for a title without spine, 48 pages.
- Poetry Guidelines. Line length in a poem cannot exceed the boundaries of the text block: 4.5″ or 4″ depending on trim size.
Please review your first digital galley proof THOROUGHLY and CAREFULLY.
Editorial Corrections: Editorial corrections are any changes you make to the text of the original manuscript you sent us, or to the back cover text or author bio. Types of editorial corrections are as follows:
- Typographical Errors
- Grammatical Mistakes
- Deletions/Additions of words, sentences, paragraphs, or graphics
- Conversion Errors that you made saving your file from one program to another
- Changes to back cover text, title, author name, or the insertion or removal of a front cover graphic
All Editorial corrections are subject to a fee.
First 50 Corrections: $50.00
Each Subsequent Correction: $0.50
If the editorial corrections involve additions or deletions that affect the page configuration they will incur extra charges. Repositioning of photos and graphs will also incur extra charges.
Formatting Corrections: Formatting corrections of errors made by NAP in the formatting process are made free of charge before final approval of the galleys.
We use metadata information in the marketing and distribution process. Save the information in separate files, in a folder titled “Data.” Include this folder in the Submission Package together with the text file and the graphic files.
Metadata consist of:
Book Description: This will appear on the Author Webpage and bookselling lists, such as Ingram, Bowker and Amazon.com. It will also appear on the back cover. One or two paragraphs describing the book (250-300 words).
Book Category: Provide one primary and one secondary category that describe your book (such as: history, political science, performing arts, Russia, etc.)
Author Bio: This will appear on the Author Webpage and on the book back cover (150 words).
Author Portrait: Optional. The file must be approximately 2″ x 2″, 300 dpi, .TIF.
Make sure your Submission Package is complete before submitting it.
The Submission Package must include the following:
- Manuscript and graphics, according to Submission Guidelines (delivered as email attachments or FTP). Do not send a paper printout.
- Signed Agreement (delivered as a hard copy by regular mail).
- Evidence of copyright registration.
- Metadata, according to guidelines
- Check or money order (if not using online payment method)
